Full-Time e-Commerce Executive Virtual Staff

Monday – Friday, 5:30 AM – 2:30 PM PST (8:30 PM – 5:30 AM PHT)

Overview

We are looking for an experienced e-Commerce Executive Virtual Staff to support a leading US-based custom sportswear and event merchandising company.

We are looking for the following specific requirements

  • Minimum 3+ years proven experience as an Executive Assistant supporting high-level management in the e-Commerce industry
  • Experienced in building systems, creating SOPs, and managing business and personal operations
  • Background in Project Management and Project Coordination
  • Exceptional written and verbal communication skills in English
  • Proficiency with Google Workspace, Microsoft Suite, Notion, AirTable, Asana, and AI tools
  • Commitment to 40+ hours/week following PST timezone

Your responsibilities will include (but are not limited to):

  • Manage inboxes, triage urgent messages, and draft responses
  • Prepare daily, weekly, and monthly operational and sales reports
  • Support warehouse operations with shipping docs, order lists, and labels
  • Maintain product listings and updates in Shopify and POS
  • Schedule meetings, prepare agendas, and oversee project timelines in Asana
  • Maintain and update SOPs, training docs, and project documentation
  • Coordinate systems and communication across teams for smooth operations
  • Act as accountability partner to the Operations Manager by tracking priorities and deadlines
