Overview
We are looking for an experienced e-Commerce Executive Virtual Staff to support a leading US-based custom sportswear and event merchandising company.
We are looking for the following specific requirements
- Minimum 3+ years proven experience as an Executive Assistant supporting high-level management in the e-Commerce industry
- Experienced in building systems, creating SOPs, and managing business and personal operations
- Background in Project Management and Project Coordination
- Exceptional written and verbal communication skills in English
- Proficiency with Google Workspace, Microsoft Suite, Notion, AirTable, Asana, and AI tools
- Commitment to 40+ hours/week following PST timezone
Your responsibilities will include (but are not limited to):
- Manage inboxes, triage urgent messages, and draft responses
- Prepare daily, weekly, and monthly operational and sales reports
- Support warehouse operations with shipping docs, order lists, and labels
- Maintain product listings and updates in Shopify and POS
- Schedule meetings, prepare agendas, and oversee project timelines in Asana
- Maintain and update SOPs, training docs, and project documentation
- Coordinate systems and communication across teams for smooth operations
- Act as accountability partner to the Operations Manager by tracking priorities and deadlines
