Overview:
We are looking for an experienced Executive Virtual Staff to support the a construction company based in Australia.
We are looking for the following specific requirements:
- Experience supporting executives in administrative and operational tasks
- Background in construction, trades, or project-based businesses
- Experience handling client portals, document management, and project records
- Ability to coordinate site photos, permits, and compliance documentation
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills in English
- Ability to work full-time following AEST timezone
Your responsibilities will include (but are not limited to):
- Manage and organize project documents, files, and records
- Download, categorize, and upload site photos to client portals
- Coordinate with site teams to collect required documentation and photos
- Prefill and organize permits, compliance documents, and site paperwork
- Coordinate with finance teams to support payment approvals
- Track tasks, deadlines, and follow-ups to prevent delays
- Assist with staff onboarding documentation and setup
- Maintain tools and equipment registers
- Provide ad hoc executive and operational support as needed
