Overview
We are looking for an experienced Senior Operations Coordinator to support the day-to-day operations of an international e-commerce business.
We are looking for the following specific requirements
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, Operations Management, or a related field is preferred.
- Approximately 3–5 years of experience in e-commerce operations, operations coordination, or senior administrative support.
- Hands-on experience using Amazon Seller Central, preferably across international marketplaces.
- Working knowledge of Amazon FBA and/or FBM workflows.
- Experience coordinating international logistics, freight forwarders, customs brokers, warehouses, or third-party logistics (3PL) providers.
- Experience maintaining inventory records and reconciling operational data across multiple locations.
- Strong proficiency in Microsoft Excel and Google Sheets for reporting, tracking, and reconciliations.
- Excellent written and verbal English communication skills.
- Ability to manage multiple priorities while maintaining accuracy and complete documentation.
- Willingness to work under the direction of the Corporate Director and escalate issues appropriately.
Your responsibilities will include (but are not limited to):
- Perform day-to-day administrative activities within Amazon Seller Central across international marketplaces.
- Prepare shipment plans, update listings, and maintain accurate operational records.
- Investigate routine marketplace, inventory, listing, and fulfillment issues, resolving or escalating them as appropriate.
- Coordinate product launches and listing updates under the direction of the Corporate Director.
- Monitor inventory availability, pricing accuracy, and listing status, reporting exceptions promptly.
- Maintain approved Amazon A+ Content and listing assets.
- Coordinate communication with suppliers and manufacturers regarding product samples, specifications, and production updates.
- Track production schedules, quality control actions, and required documentation.
- Prepare supplier comparisons and operational summaries to support business decisions.
- Coordinate international shipments with freight forwarders, customs brokers, warehouses, and logistics providers.
- Prepare and verify routine import, export, and shipping documentation.
- Coordinate inventory transfers between suppliers, warehouses, Amazon fulfillment centers, and other operational locations.
- Maintain accurate inventory records and reconcile stock movements, receipts, transfers, and dispatches.
- Reconcile inventory against purchase orders, supplier invoices, freight documentation, and shipment records.
- Verify supplier pricing, freight charges, warehouse costs, and marketplace records for accuracy.
- Maintain organized documentation for accounting, audit, and management review.
- Prepare operational reports, cost schedules, quotation comparisons, meeting notes, and decision-support documents.
- Coordinate daily communication with internal teams and external service providers.
- Follow up on outstanding operational tasks and maintain project action logs.
- Maintain and update SOPs, checklists, trackers, and workflow documentation.
- Identify operational inefficiencies and recommend improvements for management review.
- Escalate sensitive, contractual, financial, or high-risk issues to the Corporate Director promptly.
